Bidding for ECAASU 2011

So, do you think you have what it takes to bid for the chance to host ECAASU in 2011? Do you have a lot of Asian American apathy on campus and you want to do something about it? Do you want to prove to the administration that your school has the potential for so much more? If so, why not take a shot at bidding for your school to host ECAASU in 2011. The process is almost painless and the ECAASU National Marketing and Outreach Chair will guide you the whole way through, and a Conference Liaison will be on hand to help you should you get the bid to host ECAASU. Section 1 – Eligibility:

Any group affiliated with an APIA student organization at a college or university in the ECAASU region or any ECAASU affiliated school may enter a bid for the annual conference. The current hosting college or university is ineligible to re-bid for the next annual conference.

Section 2 – Election Process

2.1 Bidding:

Interested groups must do the following:

  • Submit a formal bid declaration to the National Board by December 15th of the year prior to their intended conference.
  • Contact the Marketing and Outreach Chair by phone to discuss their bid and necessary requirements within one month of submitting their declaration.
  • Submit a finalized conference bid proposal to the National Board two weeks before the annual conference taking place that year.
  • Prepare a bid presentation to be given at the current conference.

2.2 Website and Presentation Requirements

Each bidding group shall set up a website, bid packet, and conference presentation that includes, but is not limited to the following information:

  • College/University Profile: college/university location and student body size.
  • Organization Profile: name of sponsoring organization, mailing address, link to website (if available), brief history, past programs (limited to two years before the current date).
  • ECAASU Conference Team: names and contact information for bid presenters and composers.
  • A 500-word (maximum) essay about why ECAASU Conference should be hosted by the bidding organization and college/university.
  • A 250-word (maximum) statement of purpose, including primary goals for the conference.
  • A 250-word (maximum) theme and explanation of the theme.
  • Possible dates for the ECAASU Conference, sample conference schedule and program: potential keynote speakers, performers, workshops, and panels.
  • List of potential facilities for ECAASU Conference, including capacities.
  • Line-item conference budget, including estimated sources of funding, and registration fee.

Each bidding group shall prepare a presentation of up to 15 minutes to be presented by a maximum of two representatives from the organization. After each presentation, a question and answer period shall be moderated by an officer appointed by the ECAASU National Board Chair. The moderator shall select questions from the audience as well as provide an equal opportunity for each bidding group to answer the question.


2.3 Voting Procedures for Determining ECAASU Conference Host School

The voting process shall be overseen by one officer of the National Board appointed by the National Board Chair and the Conference Liaison. The National Board Chair and the Conference Liaison shall not be eligible to vote. Any schools attending the ECAASU conference shall send the two students who sit on the ECAASU Representatives Council to the bid meeting hosted at the annual ECAASU conference. Every school located in an ECAASU region shall receive one ballot for the Conference host site. The school hosting the current ECAASU Conference shall also receive one vote. Schools may not vote by proxy. Votes will be taken by secret ballot and counted immediately following the election by the National Board Chair and the Conference Liaison. The school with the most votes shall win the bid for the following ECAASU Conference. Any tie in votes shall be broken by a majority vote of the ECAASU National Board. If the vote of the ECAASU National Board ends in a tie, then the Board of Directors shall vote for the location of the following conference.
